- User counts by role, location, and product, including near-term hiring or seasonal changes.
- Required routing, coaching, reporting, channels, AI capabilities, and administration needs.
- Number inventory, countries, anticipated calling and messaging usage, and any usage limits.
- CRM and other integrations, including configuration, custom work, and third-party subscriptions.
- Implementation responsibilities, training, devices, migration support, and any overlap with the old service.
- Contract length, billing schedule, minimum commitments, growth or reduction rules, and renewal terms.
A practical budget model
Separate recurring cost from getting live.
Use four lines in the buying worksheet: contracted platform charges, expected variable usage, related third-party costs, and one-time implementation or migration work. Keep taxes and fees visible. Then model the same scope at your current size and expected future size. This exposes whether a low initial number depends on assumptions that will not hold.
- Baseline: expected users and ordinary monthly interaction volume.
- Growth: additional users, locations, or automated request types.
- Peak: seasonal traffic, temporary staffing, and higher usage.
- Transition: any period where both the current and replacement services remain active.
Before signing
Ask for an itemized answer.
Ask the seller to map every must-have requirement to the quoted product or line item. Resolve any ambiguity about add-ons, integration work, support responsibilities, and usage before signature.
