Who needs which product?

Start with named business roles and their required capabilities. Separate Contact Center agents and supervisors, Phone users, collaboration users, meeting rooms, and event needs. Confirm how shared or overlapping roles are licensed.

For Contact Center, ask which channels, outbound capabilities, AI assistance, workforce management, and quality tools are included in the proposed tier. Do not assume the entire ecosystem is included in a base license.

Full cost

Separate recurring cost from getting live.

Ask for software subscriptions, calling and messaging usage, numbers, AI billing units, storage, devices, connectivity, and optional services to be shown separately where applicable.

Include design, integrations, data preparation, configuration, testing, training, porting, and stabilization. Identify who performs each activity and what falls outside the quoted scope.

Commercial comparison

Make the proposals comparable.

Use the same user counts, usage assumptions, countries, implementation scope, and evaluation period for every provider. Include overlap with existing contracts and the internal effort required to change systems.

Confirm minimum commitments, billing start, term length, expansion pricing, renewal provisions, support scope, and cancellation conditions in the written agreement. Published pricing is a reference; the current proposal governs your purchase.
